Preparing to Join a Video Conference

  • Saga uses Zoom and Google Meet for video conferencing. If you don't have experience with the applications before, you can go through the following articles to familiarize yourself with them:
  • To ensure you are ready to go, test out your device’s audio and video on Zoom following the instructions here, or via this Online Audio/Visual Test (under Tools, you can test your camera, mic, keyboard, mouse, and audio).

Protocol

  1. Join early – 3 to 5 minutes before the session start time.
  2. Have your video on unless you are experiencing connection issues.
  3. Find a quiet space without interruptions / background noise.
  4. Establish an effective/professional background:
    1. Avoid back light from bright windows.
    2. Angle computer to avoid personal background views (bed, bathroom, other people, etc.).
    3. Utilize the virtual background feature as needed.
  5. Establish good lighting on your face so you can be seen clearly.
  6. Adjust your camera to be at around eye level if possible – especially take note of the angle of your laptop screen if using the built-in camera.
  7. Mute your microphone when not talking.
  8. Try to avoid talking over / at the same time as other participants.
  9. Be aware you are on camera and avoid doing other tasks (e.g., checking emails, looking at your phone, etc.).
  10. For Saga-wide calls (including orientation and training), please dress in accordance with a Business Casual attire.  
  11. While participating in Saga-wide calls, please refrain from eating.
