Onedrive can be used to back up data and transfer data between two computers.
OneDrive on Windows: Backing up and syncing your desktop, documents, and photos
This guide will go over how to set up OneDrive, Microsoft's cloud storage, to backup everything on your desktop, your documents, and your photos. Any other data that you would like backed up that does not reside in Desktop, Documents, and Pictures (For Example, your downloads) should be moved to Documents with their own folders.
Prerequisites
- A Windows laptop
- An Office 365 account
- NOTE: Saga's Office 365 accounts is your email address followed by ".onmicrosoft.com"

1. Select the Start button, search for “OneDrive”, and then open it:
- In Windows 10, select OneDrive.
2. When OneDrive Setup starts, enter in your Office 365 email(*****@sagaeducation.onmicrosoft.com) and select Sign in.
3. A new folder will be created in your File Explorer. This will be your "OneDrive Folder". Click "Next".
4. The next 4 panes will tell you what we can do with OneDrive.
4a. You can share files with others in Saga if they have an office 365 account.
However, this is NOT advised. Our primary Cloud storage solution for sharing files is Google Drive. Onedrive will be used for specific circumstances if needed.
4b. Files on-demand is that feature we will be using for backing up your desktop and documents. This will backup everything to the cloud, and make it available to any of your devices. Any changes made will be automatically pushed saved to the cloud. When you are offline, you can still make changes to a document. Once you regain an internet connection, OneDrive will re-sync with the cloud and upload the newly changed file. Go ahead and click next.
4c. The next pane will offer you the ability to download the mobile app. This is unnecessary and not advised, since Saga's primary cloud provider Google Drive. Click Later, and you'll be almost done!
5. Once you have it set up, go to the bottom right of your screen and expand the arrow on your taskbar. You should see a OneDrive's icon, a blue cloud. Go ahead and click it.
NOTE: If you see two clouds, that means you have two separate OneDrive accounts active. Hover over both of them and select the one that says "Saga Innovations INC".
6. In the Bottom Right, select "Help and Settings" Then select, "Settings".
7. A new window will appear. Select "Backup" in the top row of choices. Then Select, "Manage Backup".
8. Ensure there is a blue check mark in the top of the 3 boxes containing "Desktop, Documents, and Pictures", then select "Start backup".
Once the back up is started, it will sync your files in the background. You can check your status by following Step 5, clicking the OneDrive Icon in the bottom right corner of your taskbar.

- What is OneDrive's security like?
- OneDrive is backed by Microsoft, and they have a great security set up ensuring that all of your files in OneDrive are protected.
- What if I want to keep all of my files on my device, but still have them backed up?
- In your file explorer, when viewing your files, your files will have a Status icon next to them.
- Cloud icon: A file that is only available online - the file takes up no storage on your device and is accessible if you have an internet connection
- A green check mark, surrounded by white: A file that is "Locally available" - the file has been temporarily downloaded to your machine. Any changes made will be uploaded back up to the cloud once you save the document.
- A white check mark, surrounded by Green: A file that is Always available - The file permanently lives on your device. This will take up storage, but will allow you to access it without internet.
To change the status of a file, Right click a file or folder and select "Always keep on this device" to have the file/folder live permanently live on your device. To have the file/folder live in the cloud, select "Free up space".
- In your file explorer, when viewing your files, your files will have a Status icon next to them.
- Why is it not advised to share files through OneDrive?
- Saga's file sharing solution is Google Drive. Keeping everyone using the same platform to share files allows everyone access to a file created. Only select Staff have an Office 365 accounts.
